Privacy Policy

Who we are

BH Field Academy (the “Academy,” “we,” “us,” or “our”) is the online training platform operated by Behavioral Health Field, Inc., the parent practice known as BH Field. This Privacy Policy explains what information we collect when you use the Academy, how we use it, who we share it with, and the choices you have. It applies to the Academy website and the courses delivered through it.

Training data is not clinical health data

The Academy is a professional education and training platform. It processes the training and education records of adult learners — people pursuing the Registered Behavior Technician (RBT) path, employees completing continuing education, and similar professional audiences. It does not process the protected health information (PHI) of therapy clients.

BH Field’s clinical operation has its own, separate obligations for handling client health information under applicable healthcare privacy laws. Those clinical obligations are managed in BH Field’s clinical systems and are outside the scope of this Academy platform and this policy. Do not enter client health information into the Academy.

Information we collect

We collect the following categories of information:

• Account information. Your name and email address, provided when you create an account or are issued access.
• Certification information. If you complete RBT training, we collect the BACB ID you provide so it can appear on your training certificate and in the related training record. We do not verify it against BACB records, publish it, or send it to the BACB automatically.
• Authentication information. If you sign in with a password, we store a securely hashed version of it — never the password itself. If you sign in with Google, we receive basic profile information (such as your name and email) from Google to create and identify your account.
• Payment information. Payments are processed by our payment provider, Stripe. We do not collect or store your full card number. We retain limited records of a transaction (such as an order reference, amount, and status) to manage your enrollment and provide support.
• Course activity. Your enrollment, lesson and module progress, quiz attempts and results, and certificates of completion earned on the platform.
• Feedback and ratings. Course ratings and any comments you choose to submit when you complete a module.
• Support messages. The content of messages you send us through contact forms or by email, so we can respond.
• Essential cookies and session data. A small amount of technical information needed to keep you signed in and operate the service securely (see Cookies & sessions below).
• Optional analytics and advertising data. If you consent, our providers may collect information about visits and interactions on public commercial pages, such as pages viewed, products added to a cart, and purchases. We do not enable this tracking inside private learning, account, payment form, checkout entry, or administration areas; the limited paid-confirmation exception is described below.

How we use your information

We use the information we collect to:

• create and manage your account and authenticate you when you sign in;
• deliver the courses you are enrolled in and track your progress and completions;
• process payments and voucher redemptions and manage your access;
• issue certificates of completion and let you view or download your training records;
• respond to your support requests and communicate about your account or enrollment;
• review course feedback to improve our programs; where you have given explicit permission, we may publish a comment you submitted as a testimonial;
• maintain the security, integrity, and reliability of the platform; and
• comply with our legal and recordkeeping obligations.

Third parties and service providers

We rely on a small set of trusted service providers to operate the Academy. They process information on our behalf and only for the purposes described here:

• Payment processing — handled securely by Stripe. We never store your full card details.
• Email delivery — to send transactional messages such as verification and password-reset emails.
• Google — optional “Sign in with Google” authentication, if you choose to use it.
• Google Tag Manager and Google Analytics — if you consent, to load and operate optional measurement technologies on public commercial pages and understand how those pages perform.
• Meta — if you consent, to measure the performance of our advertising on public commercial pages.
• Cloud hosting — to run the platform and store its data securely.

We do not sell your personal information, and we do not share it with third parties for their own marketing. We may disclose information if required to do so by law, or to protect the rights, safety, or property of our learners, our team, or the public.

Cookies and sessions

We use essential cookies and similar technologies that are necessary for the platform to function — primarily to keep you signed in, remember your cart and privacy choices, and keep your session secure. These essential technologies are not used for advertising. Because they are required to provide the service, disabling them may prevent you from signing in or using the Academy.

With your permission, we also use optional analytics and advertising technologies delivered through Google Tag Manager, including Google Analytics and the Meta Pixel. They are limited to public commercial surfaces, such as the home page, catalog, public module and pack pages, cart, help, and legal pages. They are excluded from sign-in and sign-up, the payment form and checkout entry, account, private course and lesson, assessment, certificate, and administration pages. If you complete a paid purchase and have consented, the redacted payment-confirmation page sends a purchase event containing only an opaque transaction reference, currency, value, tax, and product slugs, names, and quantities. It does not send account or contact details, payment credentials, or Stripe identifiers.

You may accept all optional technologies, reject them, or choose analytics and advertising independently. You can revisit your choice at any time using the Cookie settings control in the site footer. Essential cookies remain active because the service cannot operate securely without them. We do not sell your personal information.

Data retention

We keep your account and training records for as long as your account is active and for as long as we need them to provide the service, support your access to your certificates, and meet our legal, accounting, and recordkeeping obligations. When information is no longer needed for these purposes, we delete it or anonymize it. If you ask us to delete your account, we will do so subject to any records we are required to retain by law.

Documentation for the RBT 40-hour training program, including incomplete and completed training records, certificate information, progress, assessments, acknowledgements, and engagement evidence, is retained for at least seven years to meet training-provider recordkeeping obligations. An account may be archived or access may be removed while those required records remain restricted to authorized personnel.

Your rights and choices

Depending on where you live, you may have the right to access the personal information we hold about you, to correct inaccurate information, and to request deletion of your account and associated data. You can exercise these rights by contacting us at support@bhfield.academy. We may need to verify your identity before acting on a request.

Security

We take reasonable technical and organizational measures to protect your information, including hashing passwords, encrypting data in transit, and limiting access to those who need it to operate the service. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we work to protect your information and to respond promptly if an issue arises.

Children’s privacy

The Academy is intended for adult professionals and learners. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will take appropriate steps to remove it.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and, where appropriate, provide additional notice. Your continued use of the Academy after an update means you accept the revised policy.
